Collecting W9 Tax Info for Aff Pro Affiliates
—
by
Hi Kento,
To keep good records, we are required to collect W9 tax forms from affiliates who earn more than $600 per year in the U.S.
I’m wondering if you have had this request before, have any plans to build an extension for this, or know of a 3rd party solution that integrates with WordPress and/or Affiliate Pro?
My thinking is that we could track the total amount paid and once the $600 threshold is met, fire off an email to the user that asks them to submit a W9 form either through the mail, or preferably online through our own site or some third party service that would allow them to view, update, etc.
Just curious if you’ve had this request come in before and if there had been any solution presented.

Hi Kento,
This is really helpful, thank you for pointing out this process!
I did some extensive research yesterday and this process mixed with some digital document signing services will likely get me close to the “automated” process we are looking for.
One service in-particular is something we’ll be exploring. https://www.hellosign.com/
It will allow us to upload the W9 form we need filled out and signed, and when a user submits the form, it can be automatically stored in various places including our Dropbox or G Drive.
I hope others find this thread useful:)
Hi Adam,
That sounds like a good combination, thanks for sharing that! It would certainly be interesting to hear about your experience with the service.
Cheers
Hi there, it’s quite easy to keep track of that actually:
In the Affiliates > Totals section choose a date range covering January 1st to December 31st for the particular year, choose Closed under Referral Status so that only referrals that have been paid are included. Under minimum total indicate 600. Hit Apply and you have the list of affiliates who need to submit the form.
To submit the form, one option is to enable a page which collects the needed form data (Contact Form 7 can be used to create the form), you can use the [affiliates_is_affiliate] shortcode to enclose it and make it visible to affiliates only.
